24-HOUR CANCELLATION POLICY

Clients can cancel or reschedule an appointment anytime, if they provide 24 hours notice.

A cancelled appointment hurts three people: you, your therapist, and another client who could have potentially used your time slot. Therapy sessions are scheduled in advance and are a time reserved exclusively for clients. When a session is cancelled without adequate notice, your therapist is unable to fill this time slot by offering it to another current client, a client on the waitlist, or a client with a clinical emergency.

Some providers have 72-hour and 48-hour cancellation policies. I am firm at 24-hours. This is not a penalty or a punishment. If any feelings come up around being charged this fee, we can talk about it during your session.

I am not upset with you if you miss an appointment or cancel late. Life happens. You might have faced something unexpected like the flu coming on, you might have been called into work, or maybe your car broke down.

I ask that clients understand that scheduling an appointment with a therapist is like buying tickets to an event. If you miss the event, it doesn’t matter why you missed it, or even if it was your first time, you can’t turn in your tickets for a refund.

WHEN THE NO SHOW/LATE CANCEL FEE IS WAIVED

The only exception to the 24-hour cancellation policy is in the event of an emergency. I offer one grace for these purposes every six months. Some examples of emergencies are if you are in a car accident, if one of your family members die, or if you are in the hospital. This does not include the common cold or the flu. Telehealth will be offered for ages 10 and above who have the common cold or flu. Work issues and childcare conflicts do not constitute emergencies.* After the one waiver is used for the above purposes, there will be a $100 charge for notice given outside the 24-hours. This cancellation policy also applies even if missing the appointment was an unintentional act.

FEES FOR NO-SHOWS & LATE CANCELLATIONS

No-Show Fees:  Anytime you fail to attend a scheduled appointment without giving an appropriate prior notice of cancellation, you will be charged a full session fee for the no show session. The credit card information or other payment information you previously provided will be used to process this payment. By providing us with your credit card information or booking an appointment, you consent to this policy. Multiple no-shows will result in a referral to another provider.

SICK POLICY AND INCLEMENT WEATHER:

For ages 10 and older, I offer Telehealth for those who are at home sick or home because of heavy snow and ice. If you do not wish to do Telehealth, for all ages I offer additional ways to avoid a cancellation charge. See below for ways to avoid this charge

LATE CANCELLATIONS AND HOW TO AVOID THE CHARGE: To avoid the cancellation charge your appointment must be rescheduled within the same week, or the following week as an additional appointment time to avoid this fee. For example: if you are sick, you will need to schedule within the same week. If you cannot in the same week, and you have a regular appointment time for Monday, you can attend your scheduled session and attend a makeup session for Wednesday or Thursday.

HOW 24-HOUR NOTICE WORKS

A fee of $100 will be charged when you miss or cancel an appointment without giving 24 hours advanced notice.

TUESDAY-THURSDAY APPOINTMENTS: This means that if an appointment is scheduled for 3:00 pm on a Tuesday, notice must be given by 3:00 pm on Monday at the absolute latest.

MONDAY APPOINTMENTS: Monday appointments must be cancelled no later than the prior Friday by your appointment time, to be considered proper 24-hour notice.  For example, if you have a Monday appointment scheduled for 4:00pm. you must call in by Friday by 4:00pm at the absolute latest to be considered 24-hours notice.

Cancellations made on Saturdays and Sundays are not considered 24-hours notice.

You can cancel your appointment by leaving a voicemail, texting, or emailing. This provides a time stamped message.

FREQUENT CANCELLATIONS OR MISSED APPOINTMENT

Frequent cancellations (3 or more in 6 months or 2 consecutive) and/or missed appointments (no show) will result in a referral to another provider and the termination of treatment. If you have arranged to have recurring appointments, the next recurring appointment will stay in the calendar. Therefore, please call the office if you choose to cancel that appointment to avoid a second No Show/Late Cancel charge. A voice mail, text, or email is sufficient as they are date and time stamped. The recurring appointment will be removed after the second consecutive No Show/Late Cancel.

Although Reverie Therapy, PLLC may send you text or email reminders about upcoming appointments, this is done as a courtesy and only if you consent to receive such communications by providing us with your email address and cell number. It remains your sole responsibility to keep track of and timely attend all scheduled therapy appointments, whether or not you receive the text or email reminder. It is your responsibility to inform the office if your phone number or email has changed. After 2 consecutive cancellations or no shows, you will not be able to schedule another appointment and will be referred to another provider.

CREDIT CARD AUTHORIZATION:

Any session that is missed by canceling less than 24 hours in advance will be charged a $100 fee, and a full session cost for a no-show unless you call to reschedule the same week, or schedule an additional appointment for the following week. You will be charged even if the cancellation is because of illness, work or childcare related.* The only exception to this policy is an emergency (car accident, death of a family member or hospitalization) offered one time over a 6-month period. The credit card information you previously provided will be used to process this payment. By providing Reverie Therapy, PLLC with your credit card information or booking an appointment, you consent to this policy.

*For those seeing me at a reduced rate, the late cancellation/no show fee is the cost of a full session. For example, if I see you at the rate of $75 a session, you will be charged $75.

*In an event where childcare is an issue, I have a private waiting room for parents and children.
